1. Who we are

kaziOS ("we", "us", "our") is an operations platform for growing businesses. This Privacy Policy explains what information we collect when you use kaziOS, how we use it, and the choices you have. By signing up for or using kaziOS, you agree to the practices described here.

2. What we collect

Account information

When you create an account we collect your name, work email, company name, and the password you set. If an administrator adds you as a team member, we receive that information from them.

Business data

To run the modules you enable (Finance, Sales, HR, and so on), kaziOS stores the records you or your team enter — for example invoices, leads, expenses, employees, and workflow rules. This data belongs to your organization.

Usage and device information

We log basic usage events (pages visited, features used, timestamps, approximate location from IP, browser and device) to keep the service running, prevent abuse, and improve the product.

Integrations

If you connect third-party services such as M-Pesa, Stripe, QuickBooks, WhatsApp, or Slack, we receive the tokens and data required to operate those integrations, scoped to the permissions you grant.

3. How we use your information

  • Operate and maintain your workspace and the modules you have enabled.
  • Authenticate users, process billing, and send transactional emails.
  • Monitor, troubleshoot, and improve reliability, performance, and security.
  • Provide optional AI assistance and workflow automations you turn on.
  • Communicate with you about product updates, incidents, and support.

We do not sell personal information. We do not use your business data to train shared AI models.

4. Sharing and disclosure

We share information only with service providers who help us run kaziOS — for example cloud hosting, email delivery, payment processors, and analytics — under contracts that require them to protect your data. We may also disclose information when required by law, to protect rights and safety, or as part of a corporate transaction (in which case we will notify you).

5. Data retention

We retain your data for as long as your account is active and for a limited period afterwards to comply with legal, tax, and accounting obligations. You can request export or deletion of your organization's data at any time by emailing us.

6. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete personal information we hold about you, and to object to or restrict certain processing. To exercise these rights, contact us using the details below. Your organization's administrator can act on your behalf for data held in the workspace.

7. Security

We use encryption in transit, role-based access control, and regular backups. No system is perfectly secure, but we work to keep kaziOS resilient and we will notify you promptly if a breach affects your data.
